Getting the Most Out of Software Demos – Live virtual software demos are a worthwhile resource when shopping for new business software. Not only are you able to see the product you’re considering in action, but you also have one-on-one access to a product specialist who can answer your questions and show you aspects of the software specific to your interests. However, many customers who participate in live demos are passive viewers and don’t get as much out of their experience as they would like.
If you have had a less than positive experience with live software demos or are about to embark on the hunt for new solutions for your business, keep these tips in mind before signing up for a virtual demo.
Your Guide to Getting the Most Out of Software Demos
Limit Your Number of Demos
Depending on what you’re looking for, there could be dozens of solutions that meet your requirements. Don’t waste your time or the presenter’s demoing something you are not serious about. Do your research and select no more than five top contenders you believe are most suitable for your needs. This way, you can get the most out of your meetings and won’t be overwhelmed by the time to search process is over.
Come Prepared
Participating in a live demo can be pointless if you go into it without a clear set of goals defined. Using your research, set an agenda for the virtual meeting to keep it on track. Many presenters are eager to get you hooked by showing off flashy features that might not be necessary for your business. By coming prepared with questions, you’ll be able to steer the conversation if it gets off track and get the answers you’re looking for.
Have Your Team Participate
Unless you’re the only one who will be using the software, it is wise to have other team members join you for product demonstrations. They are an additional set of eyes and ears and will be able to ask questions you might not think of. Your co-workers also have diverse backgrounds and experiences that can bring new perspectives to the conversation. Be careful not to invite too many participants, however. Keeping it to three or four attendees will allow you to involve everyone in the conversation.
Create a Scoring System
If you’re in the market for new software, you most likely are looking at multiple companies to find the solution that’s right for you. But with so much information coming in, it can be hard to differentiate what you liked and disliked about the tools you just viewed. One of the best ways to compare and contrast is creating a detailed scorecard that allows you to check off boxes and take notes as you go along.

Debrief After the Demo
After the demonstration has concluded, set aside at least 20 minutes to digest what you saw with your colleagues since a demo can provide a whirlwind of information that can be hard to process, so a debrief meeting is the perfect time to pull out your scorecards and compare thoughts.
Get to Know Your Vendor
You can learn a lot about a software company from a live product demo. Is your presenter willing to answer your questions? Are you able to control the pace of the presentation? These are both indicators that the company you’re considering is credible and will be someone you can rely on as a customer. If you’re impressed by the demo, maintain a relationship with the vendor. Remember, demos are just one step in the purchasing process. Having a key contact will make asking additional questions, exploring other options, and expediting the sales process more straightforward if you choose to work with them.
